There’s nothing virtual about ROI savings — Sousa Court Reporters

With all of our small business clients, we like to check in from time to time to see what their concerns are and how we can help advise them about their changing IT needs. Like many of our clients, Sousa Court Reporters relies on safeguarding its data and keeping its office network running at all times. As professional court reporters in important case depositions with offices all around California, there is no room for error.

Sousa’s IT infrastructure included several old tower servers that were well past their prime and already showing signs of potential failure and performance issues that could adversely affect business operations. Just as important, the cost to maintain them, including licensing fees, were a strain on the company’s IT budget. DataSource listened to Sousa’s concerns and got right to work with a plan to upgrade the IT infrastructure, simplify it, and save the company huge sums of money at the same time.

How did we do it? Read on to find out.

Virtualization Benefits

The first step we took was to consolidate and virtualize the current server setup. Since this solution can help many small businesses (including yours!), it makes sense to mention a few of the many benefits of server virtualization here:

  • Virtualization lowers the number of physical servers—and that means less maintenance and less energy costs.
  • It saves physical space to allow your data center to run more efficiently.
  • By having each application within its own "virtual server," you can prevent one application from impacting another when upgrades or changes are made.
  • You can deploy multiple operating systems on a single machine (e.g. Windows Server 2008, Linux, Windows 2000, etc.).
  • And here’s a big one: You can save money on software licensing, as many applications are charged per server.

In the case of Sousa Court Reporters, one of their most critical software applications was a backup solution. Because the software licensing fee requires nearly $1,000 PER SERVER, Sousa was paying much more money for running the software on outdated equipment scattered among each of their branch offices. DataSource recommended consolidating the servers into virtual machines where a single license would cover the entire cost. What does that mean to Sousa’s bottom line? By allowing all of the company’s remote offices to access information directly from a single corporate server, they no longer had to maintain (or pay licenses for) each individual server in each office.

The design DataSource implemented is the basis for future healthcare clinics to which Meditech can now offer its services. It gives the company the option of selling a complete package (both hardware and services), or simply offer electronic medical records as a secure service for hospitals to purchase. We also saved Meditech some valuable funds by designing a robust and efficient system running on just two servers: one for applications, one for files, while virtualizing the database environment. Above all, however, we provided Meditech and its amazing staff the expertise and design foundations to make sure it all works flawlessly.

That’s a whole lot of savings. We ran the numbers for Sousa, and, as you might expect, they were pretty pleased with the 38% cost reduction they would receive over 3 years with our solution. Add to that increased server performance and simplified IT administration, and you have yourself a much happier small business.

Stop the POP We spotted another important cost-savings measure in Sousa’s email server setup. Before DataSource came onboard, the company was using POP3 email for all their needs. There were a number of problems with the old technology, namely that would download mail directly to a user’s computer, lacked adequate spam protection, prevented users from accessing their mail remotely, and took up valuable hard drive space.

DataSource worked with Sousa to install Microsoft Exchange 2007 and SonicWall Email Security software. To boost performance and security even more, we also installed a SonicWall network security appliance. Acting as a gatekeeper to all the inbound and outbound Internet traffic, this security device protects the company’s network from any possible threats, including viruses and spyware, and helps boost overall network performance tremendously. Users were very satisfied with the change as well, since it freed their inboxes from spam and permitted them to check their email from almost anywhere: in the office or on the go.
